  • From Gmail to Microsoft 365 with Your Own Domain: A Guide for SMEs

Many small and growing businesses in South Sudan, Tanzania and Rwanda started with free Gmail or Yahoo addresses. It was quick and cost nothing. But as the business grows, a free address starts to work against you. Customers, banks and tender committees take an address such as [email protected] more seriously than [email protected]. When staff leave, their personal accounts leave with your customer emails. And there is little control over security or data.

Moving to Microsoft 365 with your own domain solves these problems. This guide explains the steps.

Why Move to Microsoft 365 with Your Own Domain

  • Professional image: every email shows your company name.
  • Company ownership of data: mailboxes and files belong to the business, not to individual staff.
  • Full Office tools: Outlook, Word, Excel, PowerPoint and Teams, with OneDrive and SharePoint for files, depending on the plan.
  • Better security: multi-factor authentication, spam and malware filtering, and central control of users and devices.
  • Easy staff changes: create accounts for new staff and block leavers in minutes.

Steps to Make the Move

Step 1: Register or confirm your domain

Choose a short domain that matches your business name, such as .com, .co.tz, .rw or .ss depending on your market. If you already have a domain for your website, you can use the same one for email. Make sure the domain is registered in the company’s name and that you have access to its DNS settings.

Step 2: Choose the right Microsoft 365 plan

Business Basic gives email, Teams and web versions of Office. Business Standard adds desktop Office apps. Business Premium adds advanced security and device management. Many SMEs mix plans: Premium for managers and finance, Basic or Standard for others.

Step 3: Plan your mailboxes

List every person who needs a mailbox, and every shared address such as info@, sales@ or accounts@. Shared mailboxes do not usually need a separate licence and let teams work from one inbox.

Step 4: Verify the domain and set DNS records

Microsoft 365 asks you to add records to your domain’s DNS to prove ownership, then to point MX, SPF, DKIM and DMARC records to Microsoft. Correct records make sure email arrives and reduce the chance of your messages landing in spam.

Step 5: Migrate existing emails and contacts

Old Gmail messages, contacts and calendars can be migrated into the new Microsoft 365 mailboxes, so nobody loses history. Plan the cut-over for a quiet time, such as a weekend, and keep the old accounts for a short period in case something was missed.

Step 6: Tell customers and update everything

Set an auto-reply on the old Gmail accounts with the new address, and update your website, business cards, invoices, social media, bank and supplier records, and tender registrations.

Step 7: Secure and train

Switch on multi-factor authentication for every user, set up Outlook and Teams on laptops and phones, and give staff a short introduction to OneDrive and Teams.

Quick Migration Checklist

  • Domain registered in the company’s name, with DNS access
  • Microsoft 365 plan chosen per user
  • List of user and shared mailboxes
  • Domain verified; MX, SPF, DKIM and DMARC records set
  • Old emails, contacts and calendars migrated
  • Auto-replies and all public contact details updated
  • MFA switched on and staff trained
